    Depending on your company’s preference PSG Payroll™ can be:
    In-housed This means that you manage the payroll process, tax department reporting, and facilitate payments to staff.
    Outsourced PSG Payroll™ will process your payroll, manage the tax office legislative requirements, filing,reporting and facilitate payment to staff.
    Mixture You may want to process payroll and facilitate payments to staff but have PSG Payroll™ manage the tax office relationship and reporting.

    PSG Payroll uses the Best Web Technology

    PSG Payroll™ uses web technology, AJAX ASP.NET to be precise. However, this does not mean that your payroll has to be on the Internet. PSG Payroll™, if required can be installed on your in-house servers or Intranet. Nevertheless the majority of our customers use the Internet to access PSG Payroll™. Therefore, PSG Payroll™ is very secure and uses industry Secure Full Strength SSL encryption and other technologies to protect your data. [Top]

    Handling Deductions and Payments in Payroll

    PSG Payroll™ is able to process an unlimited number of payment and deduction types, including payments to an unlimited number of employee bank accounts if required. Bulk upload of payments and deductions can be easily done via Microsoft Excel. PSG Payroll™’s deduction and payment facility is very functional. A few examples follow:
  • Capital balances is an option where an opening amount is entered then sub deductions are made each pay period until the capital balance has been paid off. Bank Statement like reporting and displaying the remaining balance on the staff pay slips are features of capital balances.
  • Special tax rules and fixed tax percentage deductions can be easily setup.
  • If required payment and deductions can be managed through a two stage approval process. For example, HR can enter payments and deductions but before these are active payroll staff must approve them. Additionally, PSG Payroll™ has a full audit trail with date stamps of the person who made the change and the person who approved it.
  • Recurring payments and deductions can be entered.
  • Optional comments can be added to payments and deductions to provide staff with additional information on their pay slips.
  • Smart defaults. For example, when paying out leave to staff PSG Payroll™ can automatically default the quantity to the current leave balance and the rate to the current rate. Additionally, time and half rates can be defaulted to the staff ordinary rate x 1.5.
  • Future payments and deductions can be entered in advance.
  • Account and Cost Codes use their default values, however, these can be set up to “force” the user to select one. This is useful for when back pay items are entered.
  • Deductions can have a “custom” assigned order so that deductions such as tax is deducted before social club. This is useful when staff do not have enough income to cover all the deductions.
  • Deductions can be setup to be “partial”. That is, if there is not enough income to cover the deduction PSG Payroll™ will deduct the remaining balance. If a partial amount is deducted then the pay slip is clearly marked providing a clear audit trail.
  • Deductions can have “protected” amounts or percentages. This protects the staff member from having all of their pay deducted. For example, some government departments such as courts specify an amount to deduct each pay cycle. If the balance remaining after the deduction is made is less than the amount or percentage specified then the deduction will not occur. However, the pay slip is clearly marked that the deduction was not made providing a clear audit trail.
  • Salary Sacrifice deductions can easily be setup (Note: the use of salary sacrifce is dependant on the specific country tax laws).
  • Custom payment and deduction rules can easily be created. For example, a Union Fee deduction might state the membership fee is 1.5% of gross with a ceiling of $4.50 per pay cycle.
  • Depending on your country, Bank References can be specified and "custom" rules added. For example, in New Zealand when tax payments are banked the "Bank Reference" needs to be set to the last day of the current month.

    Superannuation Company Contribution Calculations

    PSG Payroll™ can easily automate a company’s superannuation contributions. For example some super schemes are based on the staff’s taxable gross and then will increase depending on the staff members' contribution until a specified ceiling is reached. Also the company’s super contribution can be based on certain pay elements such as ordinary hours, licenses and acting payments, but could exclude overtime and uniform allowances. [Top]

    Minimal Data Entry

    If you are using time clocks or staff/managers are submitting/approving electronic timesheets, payroll staff no longer need to manually enter paper timesheet information. Additionally, PSG Payroll™ also facilitates bulk upload of deductions and payments via Microsoft Excel which also reduces data entry time. Along with a few other time saving functions the amount of data that needs to be manually entered at payroll time is dramatically reduced resulting in staff efficiencies and cost savings. [Top]

    The Payroll Process

    PSG Payroll System Process PSG Payroll™ uses ProcedureMap™ technology to drive the payroll process. This provides structure and allows each part of the process to be secured and auditable. Additionally, specified report groups can be assigned to the various payroll process stages. This simplifies payroll as staff do need to hunt through layers of reports to find the ones that they commonly use. As a result the payroll process can easily be picked up by “back up” staff. Furthermore, sensitive areas of payroll can be separated from the core. For example, senior management payroll can be run independently from the core payroll but both can be combined to specific reports for tax legislation purposes. [Top]

    Payroll Security

    Security is paramount in PSG Payroll™. As well as being able to grant employee’s access to the payroll process and reporting, specific access can be granted to only specific areas of the payroll process, or a specific type of payroll process. A common example of this may be where one employee may be responsible for processing the general payroll for all staff except senior management due to sensitivity. Access can be granted to a second employee who can access and process the senior team, or the processing of the senior team may be outsourced to PSG Payroll™ staff to process. [Top]

    Processing Payroll for Multiple/International Companies

    As PSG Payroll™ is compliant in a number of countries; companies can run payrolls from a central location reducing the need to have payroll staff in multiple locations. Additionally, large payrolls can easily be separated into smaller processing groups and run at different dates (i.e. a company with a fortnightly payroll can be split into two groups allowing payroll teams to process half the company one week and the other halft the following week) and if required the whole company can be reported on. Furthermore, because PSG Payroll™ is multilingual, payroll processing staff are able to process the payroll in their native language and staff can view their pay slips and related documents in another language.     Payroll Pay Slips

    PSG Payroll System Pay Slip PSG Payroll™ pay slips are rich with information as well as displaying all the standard earnings details. Custom comments can be entered against payments or deductions to give Staff a more detailed explanation. For example “Quarterly Sales Bonus (congratulations 23% above budget is an impressive result)”. Additionally, year to date information, including taxable and non taxable earnings, tax, deductions, superannuation contributions and leave balances can also be shown on the pay slip. Furthermore, pay slips can be emailed directly to staff in PDF format with the option of having a password. Otherwise a “plain” email message can be sent saying “Your July 31 pay slip has been published and can be viewed online”. However, if your staff do not readily have access to email, pay slips can be printed on a dot matrix printer using continuous “standard payroll line flow forms” or laser printed on “Rediforms” [Top]

    Payroll Reporting

    PSG Payroll™ provides a rich base of payroll reports as standard, if there is a special report that you need, just let us know and we’ll add it for you at no cost. Payroll reporting can be produced in either PDF or Microsoft Excel, many of our clients enjoy having the integrity of the PDF format with the convenience of being able to produce reports in Microsoft Excel and copy the data directly into other reporting or applications. PSG Payroll™’s single database also means custom reporting combining payroll data with time & attendance data can be achieved providing valuable analytical reports that are not available from standard payroll software.     Payroll Compliance

    PSG Payroll™ produces compliance reports that need to be filed with the appropriate authorities relevant to the country of operation. In many countries PSG Payroll™ is either accredited by or registered with the appropriate government agencies allowing PSG Payroll™ to file compliance reports on our customer's behalf. [Top]

    Procducing Electronic Payroll Bank Files

    Payroll information can be exported from PSG Payroll™. For example, a useful tool is that all payroll pay slip information can be exported to Microsoft Excel. Then using Excel’s “auto filter” data analysis can be quickly performed. That is all Time and One Half payments can be filtered, all laundry allowances can filtered and so on.

    A. Yes, PSG Payroll™ has no limit to the number or type of deductions both personal and business that can be set up for each employee. PSG Payroll™ also has the intelligence to manage capital or reducing balances. Priorities can be set against deductions to determine the order in which they are applied.

    Q. How many bank accounts can an employee's wage / salary be split into?
    A. There is no limit to the number of bank accounts that an employee's earnings can be split into.

    Q. Can an employee be a member of more than one superannuation scheme?
    A. Yes, employee's can belong to multiple schemes. Many countries have government super schemes and employee's may belong to the government scheme as well as belonging to a private scheme. Custom rules can be set up to drive the super scheme deductions as a percentage of gross or as a fixed amount as two examples.

    Q. Are leave balances displayed on PSG Payroll™ payslips?
    A. Yes, leave balances can be displayed on the PSG Payroll™ pay slips. This is client driven with the ability to display some or all leave type balances.

    A. Yes, maternity related requirements vary significantly country to country. PSG Payroll™ is able to manage and calculate the country specific requirements.
